Features & Functionalities

Agendas offers several features to enhance your scheduling experience:

  • Consolidation of Meetings: Have all your meetings from multiple calendars available in one email for quick reference.
  • Customization: Tailor your agenda to only show certain events. You decide what's important to see.
  • Organization and Prioritization: Manage your commitments systematically, ensuring you focus on the most critical activities.
  • Time Optimization: Identify gaps in your schedule and use them effectively.
  • Proactive Planning: Plan and prepare in advance by having a clear overview of your upcoming events.
  • Improved Efficiency: Avoid double booking or overlapping commitments.
  • Collaboration and Coordination: Share your agenda with colleagues or team members to foster collaboration.

Upon logging in to Agendas, you'll find yourself on the dashboard. Here, you can view your existing agendas or set up a new one.

Setting Up an Agenda

To create a new agenda, follow the steps below:

  1. Click on the "Add a new Agenda" button on the dashboard. This will bring up the setup form for a new agenda.
  2. Customize your agenda using the following parameters:
    • Agenda Name: Choose a descriptive name that reflects the agenda's purpose.
    • Email Subject: Define the subject line for the agenda email.
    • Delivery Time: Specify when you want to receive the agenda.
    • Time Zone: Set the time zone; if left blank, it will default to your profile's time zone.
    • Delivery Days: Choose the days for the agenda delivery; if left blank, it defaults to daily.
    • Delivery Date: Specify the date of the month for the agenda delivery.
    • Configure rules for your agenda, including:
      • Tags: Define terms or keywords (start each with the tag "//") to filter events.
      • Availability Matching: Decide if the alert matches any event or only those labeled as busy or free.
      • Calendars: Select specific calendars or include all in the agenda email.

Previewing and Saving the Agenda Email

Once you have configured the agenda criteria, click on the "Send a test agenda" button. This action will send an email with the list of events that meet your specified criteria. Ensure the agenda email contains the desired information and appears as expected.

If satisfied with the preview, save the agenda email by clicking on the "Save" button. This action will finalize the agenda creation process.

Managing and Editing Agendas

To manage or edit existing agendas, go back to the Agendas page. Here, you can view the agendas you have set up and have options to edit them, deactivate them or delete them as needed.

To adjust the parameters of an existing agenda, click on the pencil icon on the right of the respective agenda.
